Choose your email provider
Five privacy-focused, full-featured email providers cover every situation we typically see. They all do the basics well; the table below shows what actually differs between them, so you can pick on the criteria that matter to you.
What all five do well
Section titled “What all five do well”- Standard email apps. Use whatever you already know — Gmail, Outlook / Microsoft 365, Apple Mail, Thunderbird, the iPhone / Android mail app — and switch later to any other provider without losing your messages, calendars, or contacts.
- App passwords. Create a separate password for each device or app, so a lost phone does not force you to change your main password everywhere.
- Mailboxes at your own domain. Your address looks like
you@yourcompany.ca, notyou@gmail.com. Your identity is yours.
Where they differ: where they are based, what they cost, what languages their admin and webmail speak, whether they offer real shared mailboxes, and whether your account list can be managed in bulk or only through their web admin.

“Bulk account management” matters when your team turns over often: providers marked yes let mailboxes be created and retired through automation; partial works for some operations but not others; no means somebody has to log into the provider’s admin panel every time.
